- Session/hall sponsorships, delegate kits, app, badges, Wi-Fi
- Exhibition stalls in 2–3 sizes with a floor plan
Price each against going market rates and your delegate profile. Attach the one number sponsors actually care about: how many prescribers of their therapy area will be in the hall.
The timeline that catches budgets
- 12 months out — deck ready, first meetings with national brand teams (head office, not just the local rep).
- 9 months — follow-ups; this is when annual budgets get carved. Ask each “no” what budget window would work — many are “not this quarter”, not “no”.
- 6 months — regional managers and local distributors for stalls.
- 3 months — last symposium slots and upgrade calls to committed sponsors (“platinum is taken, gold has one left”).
Paperwork that closes deals
Under UCPMP 2024, compliance teams approve conferences that provide: a sponsorship agreement naming deliverables, invoices from the association/conference account, CME accreditation details, and a post-event report (footfall, attendance, photos).
